The Administration Coordinator – National Accounts Services, reports directly to the National Accounts Services Manager and is primarily responsible for all Administrative functions within the Company’s National Accounts group, with a focus and concentration on coordinating specific administrative functions and duties, as detailed below.

Below are specific responsibilities per corresponding function, that this position is directly responsible for:

Essential Duties and Responsibilities – Administration:

The Administration Coordinator will be responsible to coordinate administrative functions, including:

• Coordinate all duties and tasks associated with the work order life cycle for services specific to the National Accounts Services department, as directed by the National Accounts Services Manager
• Lead the effort of generating and compiling monthly service work orders and service reports for the National Accounts Services department • Quarterback all tasks associated with the scheduling, dispatching, confirming, and coordinating all field work, which includes confirming and coordinating the services directly with the Company’s Customers
• Assist the National Accounts Services Manager with following-up on all Company sub-contractors and outsourced vendor community to ensure proposed services are properly scheduled, confirmed, and executed consistent with Company and Customer expectations
• Collaborate with corresponding Company Sub-contractors on ensuring all relevant documentation including are updated and accurately filed in Company system
• Demonstrate knowledge of and ability to execute the National Accounts Services offered by the Company and assist in providing necessary support to ensure services are consistently delivered to Customers
• Log all monthly National Accounts Services work orders and service reports, reviewed and approved by the National Accounts Services Manager and/or Director
• Lead the effort in obtaining all relevant Customer service reports in ensuring all work is completed in compliance with approved proposal and consistent with Company and Customer expectations
• Administers all post award bid activities for National Accounts Services awarded to the Company
• Maintain detailed and accurate Departmental filing system
• Adherence to policy and procedures for all Customer related inquires
• Work with TFP Contract Administration team to coordinate and prioritize follow-up actions for all contracts, bids and insurances
• General office Administrative Management in the department
• Other responsibilities and tasks, as assigned by the National Accounts Services Manager and/or Director, as required
• Possess efficient organizational abilities and be detail oriented
• Strong knowledge of Microsoft Office application • Highly organized with the ability to multitask
• Excellent editing, organizational, analytical, interpersonal, verbal and written communication skills


• Three (3) three years of related work experience and Bachelor’s degree preferable
• The ability to detect individual customer needs and clearly present key benefits of doing business with Total Fire Protection
• Strong planning, organization, analytical, and problem-solving skills with the ability to handle multiple concurrent projects
• Ability to work in a fast-paced, virtual and dynamic environment
• Strong conceptual thinking abilities
• Ability to function independently in a team environment with little supervision
• Can work in a collaborative environment while also working independently
• Must be detail oriented, conscientious and have a strong work ethic
• Self-motivation, strong work ethic and career-oriented
• Strong organizational and interpersonal skills. Excellent written and verbal communications skills
• Strong knowledge of Microsoft Office application (Outlook, Word, and Excel)
• Excellent editing, organizational, analytical and interpersonal skills
